Job Description

Function

From offices in Charlottetown and Summerside, the incumbent will provide casework management in accordance with the National Standards set out by Big Brothers Big Sisters of Canada. The Mentoring Coordinator will work within the guidelines, policies, and mission of the Agency and will be accountable and responsible for specific projects as assigned. The successful candidate will be expected to use both our Charlottetown Office and Summerside Office. The amount of time spent at each office will be negotiable.

Primary Responsibilities

Implementation and management of the following programs:

  1. Community-based 1:1 Mentoring
  2. In-school Mentoring
  3. Teen Mentoring
  4. Other group programs as required, e.g. Go Girls, Game on, Tech N’Talk, Launch Your Life

Specific Duties Include

  • Accepting and documenting applications of potential volunteers and clients.
  • Managing intake of children/youth and volunteers including interviews, screening, conducting reference checks, etc.
  • Conducting the Pre-Match Training program with Mentors, Mentees, and parents/guardians.
  • Informing families of the reasons for the denial of service or for the closing of an application or referral.
  • Informing volunteers of their acceptance or rejection.
  • Liaising with schools, other youth service agencies, community groups, clubs, or the public as required.
  • Supporting matches with effective coaching techniques.
  • Recruiting schools to implement Teen Mentoring/In-school Mentoring programs.
  • Facilitating group sessions for Teen Mentors including intake, roles and responsibilities, and Pre-match training.
  • Facilitating training and ongoing support for other group programs such as Go Girls, Tech N’ Talk, and Launch Your Life.
  • Ensuring all mentees, parents/guardians, and mentors are informed of any pertinent agency information such as group programs, change of policy, change of address, etc.
  • Collaborating with School-based Liaison to establish and ensure a strong match.
  • Following match monitoring schedule and maintaining case notes in accordance with the National Standards.
  • Facilitating match closure process for Mentor, Mentee, and parent/guardian.
  • Providing regular reports to Executive Director, or special reports as requested.
  • Maintaining strict confidentiality as outlined in agency Privacy and Confidentiality Policy.
  • Performing administrative functions as required to manage caseload.
  • Making referrals to other agencies as warranted.
  • Participating in professional development activities as required.
  • Assisting with agency recreation and fundraising events.
  • Other duties as required.

Qualifications

In accordance with BBBSPEI and Big Brothers Big Sisters of Canada’s National Standards, all Mentoring Coordinators must:

  • Have a degree in a related field (e.g., education, social or human services, child and youth work, family studies, psychology, etc.).

In addition, the agency requires the incumbent to have:

  • Effective oral, written communication, and presentation skills.
  • Ability to interact with people of all ages and cultural backgrounds.
  • Strong computer/technology skills.

Work Environment

Busy office environment including a collaborative team approach. Work hours require flexibility to meet program and client needs. Employees must have a valid PEI Driver’s License, clean driving abstract, a reliable vehicle, and a minimum of $1,000,000 PL&PD insurance coverage on the vehicle.

Salary Range: $47,528
